Process: Supply management

Client: Production facility

Realization time:: 5 weeks

Problem:

The customer must fully automate a manual process involving several preliminary checks, such as VAT validation and IBAN validation in country-specific software. The process also includes data processing for SAP vendors.

Solution:

The robot retrieves data, validates VAT, IBAN, USPS, ABN, and checks for duplicates in SAP. Performs all inspections in accordance with country-specific rules (European and non-European). Creates modifies and removes vendor data.

Benefits: Percentage of automation: 70% | ROI: 5 Months | Error rate: 0% | Increases productivity | Reduces process execution time | Need for additional intervention: 30%

Process: Payment notification

Client: Insurance company

Realization time: 4 weeks

Problem:

The insurance company works with intermediaries who have offices throughout Bulgaria. Intermediaries perform the insurance service by filling in and processing the insurance policies. Once a week, all intermediaries send the processed policies to the insurance company. Employees of the company must check each policy for discrepancies, errors, or intentional omissions for the purpose of insurance fraud. The policies average 40,000 per week and are processed manually.

Solution:

Apart from the physical scanning of policies, the rest of the process is automated. The robot uses OCR to read the policies, then analyzes the data and makes all comparisons. This ensures the accuracy of comparisons, speed of work, and the exclusion of the possibility of human error. The process is accelerated more than 10 times and the possibilities for omission or intentional fraud are reduced to 0.

Benefits: Percentage of automation: 100% | ROI: 2-4 Months | Error rate: 0% | Increases productivity | Shortens the execution time of the process

Process: Accepting payments

Client: Financial broker

Realization time:: 2 weeks

Problem:

The financial broker uses MT4 (metatrader 4) to trade the financial markets.

When a customer credits his account through their website, an employee of the company must manually activate the amount deposited in the customer account in MT4. The problem is that the employee looks at the account at intervals and so the amounts are not immediately reflected in customer accounts.

Solution:

The robot monitors the payments on the site 24/7, instantly reflects the payments, and updates them in the customer accounts in MT4. The time for which the amount is updated in the client’s account is minimized. The possibility of manually updating the error is also eliminated.

Benefits: Percentage of automation: 100% | ROI: 3-6 Months | Error rate: 0% | Increases productivity | Shortens the execution time of the process

Process: Correction of invoices

Client: Food products distributor

Realization time: 3 weeks

Problem:

Every day, the employee exports invoices to determine if there are any adjusted values. In case of discrepancies, the invoices must be corrected in the system with the new values. The time required to complete the process is an average of 2 hours per day

Solution:

The whole process is automated with the help of a robot. The robot makes the exports, comparisons, and corrections of the data in the system. The time it takes the robot to complete the process is 20 minutes.

Benefits: Percentage of automation: 100% | ROI: 3-9 Months | Error rate: 0% | Increases productivity | Shortens the execution time of the process

Process: Recording payments

Client: Food products distributor

Realization time: 3 weeks

Problem:

The employee exports a bank statement for the previous day. Payments made to and from the account must be reflected in the system. Payments in the system are created one by one and this takes too much time, which leads to an increased possibility of errors. The time required to complete the process is an average of 2 hours per day.

Solution:

The whole process is automated. The robot exports, logs into the system, and creates all payments that are reflected in the account. No additional intervention by the employee is required. The time it takes the robot to complete the process is 30 minutes.

Benefits: Percentage of automation: 100% | ROI: 3-9 Months | Error rate: 0% | Increases productivity | Shortens the execution time of the process

Process: Correction of wrong export

Client: Food products distributor

Realization time: 4 weeks

Problem:

The employee exports incorrectly imported data that needs to be corrected in the system. The data can only be corrected manually, and their type and volume complicate the process even more. The time required to complete the process is an average of 3 hours per day.

Solution:

The process is automated with the help of a robot and no additional intervention by the employee is required. After export, the data is corrected and re-entered into the system. This eliminates the possibility of error and shortens the execution time to 20 minutes.

Benefits: Percentage of automation: 100% | ROI: 3-9 Months | Error rate: 0% | Increases productivity | Shortens the execution time of the process

Process: A process to end the month

Клиент: Global automotive supplier

Realization time:: 5 weeks

Problem:

Every day in the administration of the company a business process is performed with a volume that varies every month and the average time for its processing is between 2 and 4 days. One of the departments that handle part of this process uses 4 applications (SAP, e-mail, MS Excell, web portal). The process has less than 5% exceptions. The information is half unstructured and structured by users. The rules and solutions are partially predetermined, including interactive support of the confirmed steps by the users.

Solution:

The robot controls the process that performs the monthly closing from the point of view of controlling, taking the exchange rates, making reservations and allocating funds, and generating reports.

Benefits: Percentage of automation: 90% | ROI: 4 Months | Error rate: 0% | Increases productivity | Reduces process execution time | Need for additional intervention: 10%

Process: Automate requests

Клиент: Global automotive supplier

Realization time: 4 weeks

Problem:

The company’s administration carries out a business process with 30 payrolls per week and an average processing time of 3 hours. It is performed by 2 departments, using SAP, el. mail, MS Excell, and web portal with desktop versions. The information is structured by the users. The rules and decisions are determined in advance, including interactive support of the confirmed steps by the users. The process has 10% exceptions, including the use of paper and other technologies.

Solution:

The paper has been replaced by a simple and user-friendly web portal, from which the robot takes purchase orders and in turn enters the information into SAP. The robot checks if they are approved by email and then automatically generates the order numbers.

Benefits: Percentage of automation: 95% | ROI: 8 Months | Error rate: 0% | Increases productivity | Reduces process execution time | Need for additional intervention 5%

It is performed by 4 departments that use 2 applications (internal portal and SAP – desktop and web version). The information is structured with pre-defined rules and conditions. The process has 15% exceptions

Solution:

The robot is responsible for creating invoices with a very large amount of data extracted from SAP for a specific customer. Then it uploads the created invoice to the public procurement portal and fills in the data in certain fields.

Ползи: Percentage of automation: 90% | ROI: 8 Months | Error rate: 0% | Increases productivity | Reduces process execution time | Need for additional intervention 10% | Cost reduction by 60%

Client: Outsourcing service provider

Realization time: 4 weeks

Problem:

An outsourcing service provider is looking for a way to reduce the effort to deliver their services through automated invoicing to customers. A final step is included in this process: publishing the invoice. For the majority of the provider’s customers, this requires access to their ERP systems via remote access (CITRIX technology).

Solution:

The robot is the perfect solution for Citrix-type technologies, delivering secure, fast, and precise automation on a remote or virtual machine.

Benefits: Percentage of automation: 100% | ROI: 6 Months | Error rate: 0% | Reduces process execution time | Citrix integration

Process: Calculate costs

Client: Retailer

Realization time: 3 weeks

Problem:

The customer needs to automate a process that is focused on calculating supply chain costs. The process is performed entirely by hand, repeated, and predisposes to mistakes. The process has a volume of 8,000 transactions per month for 200 accounts between 11 countries.

Solution:

A robot has been developed that accepts all requests in MS Excel and imports them into SAP.

Benefits: Percentage of automation: 100% | ROI: 8 Months | Error rate: 0% Increases productivity | Reduces process execution time by 80%

Process: Pallet management

Client: Food manufacturer

Realization time: 4 weeks
